As Agency Growth Executive, you’ll be an integral part of our journey  exceeding client expectations. And proactively identifying potential clients, researching and crafting compelling proposals showcasing our strengths. to ensure our bids truly stand out. 

The Agency Growth Exec – Bid Coordinator will coordinate and produce proposal (RFI, ITT, RFP etc.) documents. Your responsibilities will include introducing and implementing all necessary document version control procedures and processes. 

This role requires the highest levels of attention to detail with the ability to work under pressure and to demanding deadlines. You’ll be involved in coordinating multiple Bid Lifecycle stages. The effort and commitment required at each stage varies and must be optimised accordingly.

You’ll work closely with our marketing team and senior leadership across the agency. You’ll identify and develop public tenders, bids and other leads into amazing new internal projects.

You should be able to manage and develop multiple work streams simultaneously and be able to extract and input new information from multiple data sources. You will need to have good team communication skills and be able to make your voice heard. You’ll need to be able to quickly learn the broad trends and tight nuances of digital and offline media campaigns and craft them  into simple but compelling narratives. 

Crucially, enthusiasm for and some experience in using new tools, including AI will be critical for this role to manage the required scale and quality of our project outputs.

About the role

 

Primary Responsibilities- Working closely with our CEO, CMO and Marketing team, you will be responsible for the following:

 

  • Use AI technology to optimise our bid response process and content production approach
  • Track bid-response performance data and work with the CMO to optimise the process and drive improved win-rates
  • Produce and deliver compliant, professionally produced proposals within customer-defined timeframes.
  • Coordinate, re-write and edit proposal input from various stakeholders, typically involving contributions from marketing, craft, planning, client, commercial and delivery teams.
  • Have a deep understanding of our agency approach, solutions and value proposition.
  • Undertake market research for the kick-off and solution meetings.
  • Connect this to craft bespoke solutions for each bid proposal
  • Ensure win themes are articulated in such a way as to meet/exceed the client’s requirements.
  • Champion collaboration tools, document management and version control best practices.
  • Own project setup and delivery within our project management platform
  • Ensure proposal documents follow agency branding guidelines, tone-of-voice, standard formatting and quality standards.
  • Provide content owners with advice on flow, language, and grammar.
  • Consolidate sections and/or documents developed by other team members into the required tender format.
  • Maintain, make available and backup master document sets.
  • Deliver completed written proposal responses against agreed RFP deadlines, escalating issues as required.
  • Lead storyboard sessions with bid/proposal team members.
  • Proactively develop and manage a network of subject matter experts.
  • Assist the CMO/Response Lead in developing a proposal structure.
  • Identify and re-work existing pre-written content where relevant. Use our AI systems to maximise effectiveness in these areas
  • Present and tag all new proposal content to the knowledgebase for potential future use
  • Develop a knowledge of proposal automation software.


Requirements

  • Proven ability in planning, producing and delivering compliant proposal documents within a complex business environment. 
  • Experienced in attending proposal kick-off meetings, participating in storyboarding sessions, attending review meetings / final document review, managing document governance / sign-off, document production (electronic and hard copy), and delivery of the completed proposal.
  • Communicate and influence at a senior level.
  • Excellent time management/prioritisation skills.
  • Forensic attention to detail and meticulous proofreading skills.
  • Have strong writing skills and the ability to think ‘creatively’ about how they engage with prospects.
  • Be results-driven and have the ability to work under pressure. 
  • Be familiar with using the latest marketing technologies, such as CRM’s, and email delivery or marketing automation systems. 
  • A strong interest in AI technology and how this can improve our sales processes

Salary

  • £27,000 base + role specific bonus
